TERMS AND CONDITIONS
1. Booking & Room Policies
Room/Suite Grades:
- Shared Room/Suite: Booking for one person in a twin room. You’ll be paired with another retreater unless booking with a friend or family member.
- Single Room/Suite: Booking for one person in a private room.
- Double Room/Suite: Booking for two persons in a double/twin room. You and your partner/friend will share the room.
Services are subject to availability at the time of booking confirmation. All booking conditions of our retreat and any additional booked services will apply.
If you book a shared room package for one person:
- We recommend booking with a friend or partner selecting the same package.
- If you are traveling solo, Éclore Wellness Retreats will do its best to match you with another guest.
- If the second spot in your room remains unsold by the balance payment due date, you must upgrade to a single room and cover the cost difference.
2. Health and Safety
- You must inform our instructors of any injuries or medical conditions before participating in any retreat activities. Listen to your body and stop any activity that causes discomfort or pain.
- We recommend consulting a healthcare professional before attending to ensure you are fit for participation. Disclose any medical conditions, injuries, or dietary requirements before booking.
- If we believe an activity may not be suitable for your health, we reserve the right to advise against participation.
- Our retreats may take place in natural settings with uneven terrain. While we take precautions for safety, we are not responsible for injuries resulting from such conditions.
- Pregnant participants (12–28 weeks) must provide a doctor’s note confirming their fitness to travel and participate.
3. Acknowledgment of Risks
You acknowledge that all exercise and travel carry inherent risks. Participation in our retreats is voluntary and at your own risk. We do not provide medical advice, and any guidance offered should not replace professional medical consultation.
4. Indemnity
You agree to indemnify and hold harmless our trainers, directors, and contractors from any claims, liabilities, damages, or expenses arising from injuries, accidents, or incidents that occur during the retreat, whether on or off the retreat premises.
5. Payment Policy
- A non-refundable deposit of 40% of the total retreat price is required upon booking.
- The remaining balance is due 40 to 60 days before the retreat begins.
- Prices do not include flights, transfers, or travel insurance.
- Discount promotions are set in Euros. Exchange rates for other currencies are fixed on the day the promotion begins.
6. Travel Insurance
- You are required to obtain travel insurance covering all retreat activities, cancellations, medical expenses, and personal losses.
- We are not responsible for any costs incurred due to inadequate insurance coverage.
- Proof of travel insurance must be provided before the retreat begins.
7. Cancellations & Refund Policy
Guest Cancellations:
- Deposits are non-refundable.
- The remaining balance is non-refundable and due 40 days before travel.
- If you cancel 90+ days before the retreat: Full refund minus the 40% deposit.
- If you cancel 60–90 days before the retreat: 50% refund, excluding the deposit.
- If you cancel less than 60 days before the retreat: No refunds.
- No refunds will be given for missed retreats due to airline delays or missed connections. Please ensure your travel insurance covers such instances.
Cancellations by Us:
- If we cancel or reschedule, you may transfer your booking to another retreat within one year or request a refund, subject to non-recoverable costs.
- We are not responsible for expenses incurred due to canceled retreats (e.g., flights, accommodation).
8. Late Arrivals & Early Departures
No credits or refunds will be issued for missed retreat days due to late arrival or early departure.
9. Third-Party Responsibility
We are not responsible for third-party services, including airlines, transfers, or independent contractors. Any changes made by third parties to advertised services are beyond our control.
10. General Waiver
Participants must sign a waiver at least 30 days before the retreat start date. By attending, you acknowledge and accept that you voluntarily participate in all activities and waive any claims against our retreat organizers, staff, and contractors for loss, injury, or damages.
Our retreats are not suitable for individuals under 18 years of age or those with disabilities requiring special assistance.
11. Exclusions
- Retreat details are accurate at the time of publication. However, some amenities or activities may become unavailable due to unforeseen circumstances. We will provide suitable alternatives when possible.
- If a team member becomes unavailable due to illness or emergencies, the retreat schedule may be adjusted. No refunds or compensation will be issued for such changes.
12. Photography & Media Release
By attending, you grant us permission to use photos and videos taken during the retreat for promotional purposes. To opt out, you must inform us in writing before the retreat begins.
13. Complaints
We strive to provide an exceptional retreat experience. If you have concerns, please speak to our retreat director during your stay. Formal complaints must be submitted in writing within 14 days of the retreat’s end.
14. Privacy Policy
- We do not store credit card details or share customer information with third parties.
- Personal data is used only for the requested service and website analytics.
15. Our Rights
- We reserve the right to remove a participant from the retreat if their behavior is disruptive; no refunds will be given.
- We reserve the right to hold a guest liable for damages caused to the retreat property, nature, or belongings.
- We reserve the right to change the retreat program, teachers, or team members at any time.
